How often have you found yourself within a cycle of overwhelm because you’re doing too much in your business? It’s not fun and definitely not sexy!
Most will try to push through until burnout hits however I can confidently say that this doesn’t have to become your story!
The key fact to note is that the ability to scale the business beyond a certain level is closely directed to the operational structure of the business.
I am sharing the operational blueprint to support your scaling business, cut the overwhelm and give your business the competitive edge against the rest.

Find the gaps within your current processes
Oftentimes, when there is frustration it is due to a gap within your current processes. For your sanity, the sooner you identify what that gap is the better.
Take a deep dive into your current business setup and assess your processes as they are. This exercise will help you see what is happening and what needs to be improved.
Your processes ensure that you are able to meet key objectives such as income goals so it’s definitely for your benefit to take some time with this.
The goal is to introduce consistency within your business but keep it simple yet effective.
Not sure where to start? Ask yourself the following questions as you go.
What are the recurring tasks that take the most time?
What areas are affecting my costs?
What processes are reducing efficiency?
How does this affect my strategic goals?
What effect does it have on my clients?
Make a new plan
I’m here to say that it’s ok to make a new plan from scratch!
The number one goal is to build an operating structure that will serve your business now and for the future.
Starting from scratch means you can really dream up and implement the ideal process.
What areas might you look to improve?
A popular example is your client onboarding process. Ask yourself, what could be automated to keep it consistent and still maintain an exciting experience for your clients?
My favourite tool for coaches and consultants is Dubsado which not only allows for e-signatures but it also has automated workflows to take the recurring and time consuming tasks off your hands.
Making good use of email and form templates will not only elevate your client process but support your business as you scale further.
In fact, you can look to create new processes within Dubsado to support key areas of your client management – lead, onboarding, offboarding, gathering testimonials and referrals.
What about team growth? If you have been running your business for some time and at the point of growing your team, you may discover the ‘gap’ is that you have no clear path for recruiting, onboarding and training your new team members.
This is where you will have the opportunity to map out the process steps for each stage to take an individual from applicant to team member.
In general, when mapping out any new process plan, you also want to consider the following:
How can technology make it efficient?
Who will manage the process?
Is this process scalable?
The last question is crucial as your process should also align with your long term business vision.
Implement and put the plan to work!
You’ve done the research and mapped out the new processes and now is time to build and test!
Setting up technology platforms might not be your fortea and that’s ok.
When it comes to setting up new tech, here is what I recommend:
Start with the basics – brand settings and basic integrations
Create the content or templates first – plan content on paper first and input into your new platform.
Build in stages – Rome wasn’t built in a day and its ok for you to focus on one area at a time.
Your new process is not just tech focused however.
Consider the areas that require human involvement. Where you will have a team member running a part of the process, have them test it out from start to finish along with the tech. That way, you can make any necessary adjustments.
By implementing these actions you can continue to scale your business to new levels and with more ease, more efficiency and without losing your mind. Like with anything, it’s all about implementing the right foundations and then building from there.
