How to Run Your Group Program Calls

Congratulations, you’ve sold your group program and are gearing up to go LIVE with your most excited group of clients yet! Whether you have an exclusive group of 5 members or a large 20-person program, it’s important to nail down the structure of your group program calls ahead of time.

While you put the finishing touches on your curriculum outline, let’s dive into the details of a stellar live experience and create your checklist for success.


Program Preparation

Establish call times based on the group size

For larger programs, solidify the schedule before you open enrollment and promote those dates heavily. For smaller, high-touch containers, use a voting survey (like Typeform) post-enrollment.

Create an AddEvent for each session

Use AddEvent.com to create calendar invites that include the title, description, and Zoom link so your students always have what they need in one click.

Build a ‘show up’ reminder email sequence

Repeat this for each live session:

  • “See you tomorrow” email (include fun CTAs to build energy)
  • “See you in one hour” email (include Zoom link + prep)
  • “Replay is live” email (send after upload)
  • “Final day/thank you” email (on final session)

Before the Session

Post on Instagram Stories

  • 45–60 min before: Reminder/hype story
  • 10 min before: Out-of-office story with where to find their Zoom details and portal access reminder (*This is not only helpful for students who are used to consuming from you on IG, but creates great FOMO for leads not yet converted!)

Check DMs and Email

Scan for anyone needing help joining the call. Use pre-saved replies to make it easy to assist last-minute students.

Prep Your Environment

  • Good lighting and quiet space
  • No distractions or background noise
  • Tabs preloaded and notifications off

During the Session

Hit Record

Auto-record is great, but know you may want to trim replays. Set reminders!

Mute Protocol + Energy Boost

Remind students to mute until otherwise prompted. Play a curated (clean for little ears in the background!) playlist while folks join.

Manage Chat + Q&A

If solo:

  • Pause mid-topic to scan for Qs

With support:

  • Use a shared Google Doc to categorize questions into:
    1. Answer Now
    2. End of Call
    3. Answered / Archived (great for future marketing)

Capture Social Proof

Have your team grab screenshots and clips of wins and engagement in the chat. Or do a screen-record scroll at the end if you’re solo.


After the Session

Upload Replays + Resources

Use your course platform or Google Drive. Organize into modules/lessons with:

  • Replay
  • Slide deck
  • Homework prompts
  • Reminders
